Locomotive file - Registration and management

The directories are designed to manage information on the operating characteristics, legal and technical status of railroad vehicles and their equipment: among others.
related to operating permits and/or Type Certificates (no/period of validity), operating permits and/or Rail Vehicle Certificates (no/period of validity), Certificates of Technical Performance (no/period of validity), as well as information required by law in the area of identification of Manufacturer, Owner, Dispatcher, Operator and ECM for vehicles.

The directories also provide tools dedicated to optimizing: the recording, management and use of information in the area of control of maintenance statuses of the railroad vehicle and equipment, in accordance with the maintenance cycles appropriate for the vehicle, Maintenance System Documentation, manufacturer’s warranties, validity of certificates, approvals, permits and others.
The system transparently makes available all information about all events that have occurred throughout the maintenance period, i.e.
from level 1 to 2 control inspections through level 3 periodic inspections to level 4 to 5 periodic repairs.
The system also monitors in real-time the inspection statuses of tank cars, brake tanks and other railroad vehicle equipment.
It allows for the definition of individual inspection rules and automatically warns of upcoming inspection or repair dates.
It provides basic support for managing freight safety information in the form of transparent visualization of approaching repair and inspection dates in the timeline.

Traction vehicle equipment module

The module allows you to define any important (for inspection, repair, revision and legalization) elements of locomotive equipment (along with important individual parameters characterize) – example parameters.

Traction vehicle document register - document management

The system area provides tools to support the collection, archiving and sharing of railroad vehicle maintenance documentation resources with the assignment to a specific type of vehicle/strategic type for railroad safety of their equipment, with the legally required continuity of traceability of features and characteristics in the operating history of a railroad system element.
The module allows the user to define the expiration date of a document associated with a railroad system element and automatically warns about the approaching expiration date of the document.

Module inspection and maintenance of locomotives with equipment

When carrying out inspection work on a vehicle, the condition of individual pieces of equipment is checked according to the indications in the DSU and defined rules. Components such as wheelsets and pantographs also wear out and must be repaired or replaced.

A team of analysts and developers has created a maintenance and inspection module for locomotives with their equipment in Railsoft. It is in it that we defile maintenance rules and groups, record performed inspections and equipment replacements, and configure parameters for the measurement card. The functionality of the technical document repository allows us to assign specific attachments to the right piece of equipment, taking into account its type and the type of requirements and specifications of the Safety Directive.

Register of contracts (insurance)

The module is used to register and manage contracts concluded with insurance service providers The contract management module allows grouping contractors into appropriate categories, which allows transparency of the relationship with a particular company.

Measurement eCards

Each workshop, when performing a periodic inspection P1-P3 or repairs P4 and P5, is required to fill out Measurement Cards appropriate to the vehicle type according to the DSU in effect at the time. The activities aligned during the repair and the documents filled out by the workshop must comply with the Safety Directive. Developed by Petrosoft, the Measurement Card Module works in two dimensions:

  • The basic version allows you to assign templates to a specific piece of equipment, hand over the document to the workshop to fill out through the web application. The employee then fills out the form manually scans it and sends it with an attachment to the office.
  • The advanced version allows you to electronically assign specific parameters to items of equipment, build flexible and dynamic patterns whose contents are triggered depending on the level of maintenance, draw the shape of the printout according to DSU which, after completing the form during repair, are automatically filled with the indicated measurements. Advanced cards can be completed from : office, web browser and mobile. The data is automatically transferred to the company ordering the measurements. Added validations to the marginal values will prevent the closure of repair work if the measured values of the required parameters deviate from the safety rules. All information is transferred to reports.

 

Cartography of Wagons - Registration and Management

The directories are designed to manage information on the operating characteristics, legal status and technical condition of railcars, railroad carriages and their equipment: among others.

Employees

Employee file - registration and management

The module in the system is designed to manage employee information as well as about training, examinations and authorizations of employees carrying out transportation and/or maintenance processes.
The functionality makes available the definition and supervision of the validity of certificates and authorizations on the basis of a predefined card file and warning rules, with procedures for checking the competence of employees in real mode (knowledge of the route) and other authorizations, along with the assignment of appropriate documentation, confirming the acquisition of authorizations.

 

Also part of the employee area is a set of functionality responsible for trail familiarity.
It is used to record and verify the trail familiarity of subordinate drivers, as well as their last runs on a given route.

Relation – The path of a train between its starting and ending points, containing specific rail lines or sections of rail lines.

The module allows the definition of relationships to be recorded and updated in a variety of ways, from manual definition to the selection of specific railroads to timetables.
Functionalities within route familiarity management also make it possible to generate a route familiarity card for a selected employee, as well as a list of employees who qualify for a route familiarity exam or renewal of route familiarity

Employee document register - document management

The system area provides tools to support the collection, archiving and sharing of documentation resources confirming the acquired authorizations of employees, as well as documentation resources and assignment to a specific type of tool, with the legally required continuity of traceability of characteristics and properties along with the history of operation of the item.
The module allows the user to define the expiration date of a document related to an employee or equipment, and automatically warns about the approaching expiration date of the document.

Employee equipment module

The module allows you to define any relevant (for inspection, repair, revision and legalization) elements of employee equipment – one-time schemes or permanent templates (along with relevant individual characterization parameters).

Employee training and instruction module

The module is responsible for the process of training, authorization, privilege updates and instructions.
Automation of the process, integration with the Employee Documentation module, customization of templates, document templates and the use of mobile devices facilitate and optimize the process of managing employee authorizations.

UTK Register of Train Drivers

A module containing a set of functionalities enabling communication with the system of the Railway Transport Authority in the scope of entering, updating and deleting data of employees in the positions of Drivers and Drivers of Railway Vehicles. Module created for the purpose of compliance of the system with the Regulation of the Minister of Infrastructure of October 12, 2022. (Journal of Laws 2022 item 2166).

Cab module

Integration with the National Register of Train Drivers and Train Vehicle Drivers in accordance with the Decree of the Minister of Infrastructure dated October 12, 2022. (Journal of Laws 2022 item 2166)

  • Principal area – allows you to register transport requests with the possibility of grouping them into packages of transport orders, which are then forwarded to the cab company for execution. The principal’s area also allows the definition of destination addresses such as those of employees, hotels, stations, company buildings, etc. In addition, the user of the principal’s area can view defined cab companies, their price lists, contact information or company employees authorized to operate the RailSoft system for TAXI order execution data.
  • Executor area – allows you to record the implementation of employee transportation, in particular:
    • Start time on a given transport request within a packet of orders
    • Distance covered on individual transport requests within a parcel of orders
    • The time of completion of a ride on a given transport request within a parcel of orders
    • Travelled commuting distance from the cab company’s headquarters to the starting point of the order

System

File of contractors

The module is used to manage contractors with whom we have active business relationships.
This module can be integrated with an external system, which will feed it with the data of contractors.
An additional functionality of the module is a register of potential business partners stored and maintained in the system.

Product file

The module is used to register transported goods, taking into account the NHM and RID code. Each product registered in the file is subject to CSO classification.

Security

BRK database - Registration and management

The Railway Traffic Safety Module (BRK) is composed of a number of functionalities enabling work in the field of broadly understood railroad traffic safety, starting with the Safety Improvement Program, through all inspections of the Railway Transport Office, in-house or inspections of external entities, together with their certification, registration of post-inspection recommendations and their implementation, up to the Register of Railway Events enabling the collection of information on incidents, accidents or serious accidents.

The section responsible for the Safety Improvement Program allows the registration, approval and full control of Safety Improvement Programs and the tasks defined in their area. Within each program, tasks can be defined, the completion of which can also be recorded in this part of the BRK module. Tasks can be assigned to specific individuals, establishments as well as time periods within a Safety Improvement Program. Task completion, on the other hand, is assigned to tasks defined within the PPB. The system allows the Program to be printed with the defined tasks and their level of completion at any stage of the program.

BRK base - Acceptance of regulations

The Instructions section allows you to register PKP PLK instructions, internal company instructions and other documents that should be made available to employees using the mRails mobile system. The system allows assigning a responsible person and also a validity date to each of the added documents.

BRK base - inspections and audits

The section responsible for Audit Protocols allows for the registration and ergonomic administration of audit and inspection protocols broken down into three groups:

  • Railroad Transport Authority audit
  • Internal audit
  • External company audit

Each group has individually prepared sets of fields to enable the implementation of the established division.
In addition, each inspection protocol has the ability to attach attachments, notes, documents, as well as irregularities and tasks detected during the inspection.
The system allows assigning tasks to individual employees already at the stage of their registration.

An additional advantage is the ability to register documents, notes and attachments independently of audits and inspections.
The Audit Protocols section included in the BRK module also allows ergonomic supervision of external entities and their certificates.
Based on the registered audit, the user can grant or revoke the validity of a certificate for a selected external entity.

Planner panel

The module is used to create and manage plans of trains carrying out registered transport orders, including planning of traction vehicles, drivers and wagons. Within the module it is possible to plan main carriages (according to the order from the customer), auxiliary carriages, i.e. arrivals, returns or slackers. In addition, the system is equipped with functionality for verification of transport status thanks to connection with SEPE, and automatic downloading of national and border timetables thanks to connection with PKP PLK. The Transportation Planning module can be used in the form of:

Transport dispatcher panel - Implementation of the transport plan

An ergonomic panel for scheduling and managing transports. The dispatcher panel can be run in infinite instances and user-defined views.

Register of transport contracts

The module allows you to register transport contracts concluded with contractors, with the possibility of linking them with offers issued in the CRM module. The defined contract can consist of multiple services and their variants.

CSO Reports

The module is responsible for generating reports required by the Central Statistical Office (CSO)

  • TK-1 – Report on operational activities of railroad transport
  • TK-2 – Report on cargo transportation by railroad.
  • TK-2a – Report on cargo transportation in international transport by rail.
  • TK-4 – Report on the operation of rolling stock

The module is responsible for generating reports required by the Railway Transport Office (UTK).

H30

The module allows electronic data exchange with other carriers. The exchanged data includes information on trains routed to and from the carrier along with its details such as wagon list, freight carried, net and gross weights of the train set and individual cars. The exchange can be implemented based on the international HERMES standard (H30/A30).

Workshop

Register of workshop orders (implementation of maintenance)

Current repairs and inspections are often performed by in-house workshops that are part of the company.
The in-house workshop module is responsible for handling requests for rail cars and traction vehicles to be taken out of service, as well as for contacting in-house workshops carrying out work on defective rail cars.
Repair work is carried out in accordance with the DSU documentation, for each change in the activity of a transport unit appropriate documents such as R25W and R27W are issued.

Register of contracts (workshop internal/external)

Transportation companies are required to perform regular maintenance on their transport units, and for this purpose they enter into contracts with workshops that specialize in performing specific repairs.
The Railsoft system in the contract management module allows you to register the terms of the contract.
The process involves assigning the appropriate units to the repairer, defining the types of overhauls and repairs to be performed, the activities that are necessary and the side activities performed during regular maintenance work.

The dynamic design of the functionality allows costs to be appropriately allocated to the type of exemption being implemented.

Maintenance integration pins the registered request to a specific contract calculating the approximate cost of the repair performed.
By issuing data to a third-party workshop on the browser side, it allows you to adjust the services to be performed and return an invoice for the repair with a detailed cost estimate according to the contract points.
The contracts module works closely with the maintenance module, inspections, transport units file and contractors file.
The items written in the contract are applicable both in the office and from a mobile device or browser in mobile or web.
This module is integrated with Ascent.

Services

CRM. Contractor - Web

The module is used to communicate with the customer using a web page. In addition, the system provides correspondence with the contractor from the level of the office application. After receiving an inquiry from a client, the system allows to carry out a broadly understood calculation of the cost of fulfilling the inquiry with a division into different variants. The ready calculation can be transformed into an offer, which can then be sent to the contractor for approval. Once the offer is approved, a freight contract is generated based on it, which is the beginning of the freight stage.

CRM.Workshop - Web

Many repairs to traction vehicles are carried out by third-party workshops that specialize in a particular type of repair and are not part of the freight company.
Until now, the forms submitted to them about performing an inspection or repair were sent via email.
This process took a very long time and the locomotive could not always get to the activity in time to perform the scheduled transport.
The frequent occurrence of such cases jeopardized the timeliness of orders and caused financial losses.

In order to facilitate and speed up the process of carrying out repair activities, a CRM workshop module managed via a web browser has been created.
A trucking company that has Railsoft software in the office version provides cooperating repair companies with access to the application.
