Planning optimization

The module makes it possible to plan trainsets with manning and rolling stock and apply for timetables to PKP PLK, which, combined with real-time data transmission, translates into a significant acceleration of the transport process and, thanks to this, a reduction in transport costs.

Locomotive file - Registration and management

The directories are designed to manage information about the operational characteristics, legal and technical status of railroad vehicles, railroads and their equipment: among others. related to operating permits and/or Type Certificates (no/period of validity), operating permits and/or Rail Vehicle Certificates (no/period of validity), Certificates of Technical Performance (no/period of validity), as well as information required by law in the area of identification of Manufacturer, Owner, Dispatcher, Operator and ECM for vehicles.

The directories also provide tools dedicated to optimizing: the recording, management and use of information in the area of control of maintenance statuses of the railroad vehicle and equipment, in accordance with maintenance cycles appropriate to the vehicle, Maintenance System Documentation, manufacturer’s warranties, validity of certificates, approvals, permits and others. The system provides transparently all information about all events that occurred throughout the maintenance period, i.e. From level 1 to 2 inspection through level 3 periodic inspections to level 4 to 5 periodic repairs. The system also monitors in real-time the inspection statuses of tank cars, brake tanks and other railroad vehicle equipment. It allows you to define individual inspection rules and automatically warns you of an upcoming inspection or repair date. It provides basic support for managing transportation safety information in the form of transparent visualization of approaching repair and maintenance deadlines in a timeline.

Traction vehicle equipment module

The module allows you to define any relevant [for inspection, repair, revision and legalization] elements of the equipment of locomotives [including z relevant, individual parameters characterize] – example parameters.

Traction vehicle document register - document management

The system area provides tools to support the collection, archiving and sharing of railroad vehicle maintenance documentation resources with the assignment to a specific type of vehicle/strategic type for railroad safety of their equipment, with the legally required continuity of traceability of features and characteristics in the operating history of a railroad system component. The module allows the user to define the expiration date of a document associated with a component of the railroad system, and automatically warns the user when the expiration date of the document is approaching.

Module inspection and maintenance of locomotives with equipment

When carrying out inspection work on a vehicle, the condition of individual pieces of equipment is checked according to the indications in the DSU and defined rules. Components such as wheelsets and pantographs also wear out and must be repaired or replaced.

A team of analysts and developers created a locomotive maintenance and inspection module in Railsoft, along with its equipment. It is in it that we defile rules and maintenance groups, record performed maintenance and equipment replacements, and configure parameters for the measurement card. The functionality of the technical document repository allows you to assign specific attachments to the right piece of equipment given its type and the type of requirements and specifications of the Safety Directive.

Register of contracts (insurance)

The module is used to register and manage contracts concluded with insurance service providers The contract management module allows grouping contractors into appropriate categories, which allows transparency of the relationship with a particular company.

Measurement eCards

Each workshop, when performing periodic inspection P1-P3 and/or repair P4-P5, is required to complete Measurement Cards appropriate to the type according to the DSU in effect at that time. The activities performed during the repair and the documents filled out must be in accordance with applicable EU and Polish law.

Developed by Petrosoft.pl, the module works in two dimensions:

  • The basic version-allows you to assign templates in the form of a pdf or jpg file to a type and piece of equipment and submit it to the repairer via an attachment added to the vehicle shutdown report both in the web application and in the office. The workshop employee prints the card, fills it out while checking the checkpoints and the scan adds restoring the vehicle to service.
  • The advanced version makes it possible to electronically assign specific measurement points to equipment elements, build flexible and dynamic patterns whose contents are triggered depending on the level of maintenance, draw out the shape of the printout according to DSU, which, after completing the form during repair, are automatically filled with the indicated measurements. E-cards can be completed from : office, web browser and mobiles. The data is autoamtically transmitted to the company commissioning the review. Added validations to marginal values will prevent repair work from being closed if measured values deviate from safety rules. All information is transferred to reports.

 

CRM.ECM

A sytem module for reporting vehicle exclusions and recording their mileage by lessees. The module has been implemented using WEB technology, which translates into free access from any location and device that supports web browsers.

Wagons

Employees

Employee file - registration and management

A module in the system is designed to manage employee information as well as about training, examinations and authorizations of employees who carry out transportation and/or maintenance processes. The functionality makes it possible to define and supervise the validity of certificates and authorizations on the basis of a predefined file and warning rules, with procedures for checking the competence of employees in real mode (knowledge of the route) and other authorizations, along with the assignment of appropriate documentation, confirming the acquisition of authorizations.

 

Also part of the employee area is a set of functionalities responsible for knowing the trail. is used to record and verify the route knowledge of subordinate drivers, as well as their last runs on a given route.

Relation – The path of a train between its starting and ending points, containing specific rail lines or sections of rail lines.

The module allows the definition of relationships to be recorded and updated in a variety of ways, from manual definition, to the selection of specific railroad lines, to timetables. Functionalities within trail familiarity management also allow the generation of a selected employee’s trail familiarity card, as well as a list of employees eligible to take the familiarity exam or renew trail familiarity

Employee document register - document management

The system area provides tools to support the collection, archiving and sharing of documentation resources confirming the acquired authorizations of employees, as well as documentation resources and assignment to a specific type of tool, with the legally required continuity of traceability of characteristics and properties, along with the history of operation of the item. The module allows the user to define the expiration date of a document related to an employee or equipment, and automatically warns when the expiration date of the document is approaching.

Employee equipment module

The module allows you to define any relevant (for inspection, repair, revision and legalization) elements of employee equipment – one-time schemes or permanent templates (along with relevant individual characterization parameters).

Employee training and instruction module

The module is responsible for the process of training, authorization, authorization updates and instruction. Automation of the process, integration with the Employee Documentation module, customization of templates, document templates and use of mobile devices facilitates and optimizes the process of managing employee authorizations.

UTK Register of Train Drivers

A module containing a set of functionalities enabling communication with the system of the Railway Transport Authority for entering, updating and deleting the data of employees in the positions of Train Drivers and Drivers of Railway Vehicles. The module produced for the system’s compliance with the Ministry of Infrastructure Regulation of October 12, 2022. (Journal of Laws 2022 item 2166).

Cab module

TAXI module is used for ergonomic and comprehensive handling of employee transportation using cab companies. The module is divided into two areas:

  • Principal area – allows you to register a transport request with the ability to group them into parcels of transport orders, which are then forwarded to the cab company for execution. The principal area also allows the definition of destination addresses such as those of employees, hotels, stations, company buildings, etc. In addition, the user of the ordering area can view defined cab companies, their price lists, contact information or company employees authorized to operate the RailSoft system for TAXI order execution data.
  • Executor area – allows you to record the implementation of employee transportation, in particular:
    • Start time on a given transport request within a packet of orders
    • Distance covered on individual transport requests within a parcel of orders
    • The time of completion of a ride on a given transport request within a parcel of orders
    • Travelled commuting distance from the cab company’s headquarters to the starting point of the order

Cab. Sava

TAXI module. Sava – is used for ergonomic handling of employee transportation using a data interface made together with Sawa Taxi. The module allows you to register a shipping request from within the system, which will be handled by the shipping company.

System

File of contractors

The module is used to manage contractors with whom we have an active business relationship. This module can be integrated with an external system that will feed it with contractor data. An additional functionality of the module is a register of potential business partners stored and maintained in the system.

Product file

The module is used to record the transported goods, taking into account the NHM and RID code. Each product registered in the file is subject to CSO classification.

Security

BRK database - Registration and management

The Railway Traffic Safety Module (BRK) is composed of a number of functionalities enabling work in the field of broadly understood railroad traffic safety, starting with the Safety Improvement Program, through all inspections of the Railway Transport Office, in-house or inspections of external entities, together with their certification, registration of post-inspection recommendations and their implementation, up to the Register of Railway Events enabling the collection of information on incidents, accidents or serious accidents.

The section responsible for the Safety Improvement Program allows registration, approval and full control of Safety Improvement Programs and the tasks defined in their area. Within each program, tasks can be defined, the implementation of which can also be recorded in this part of the BRK module. Tasks can be assigned to specific individuals, establishments as well as time periods within the security improvement program. Task performance, on the other hand, is assigned to tasks defined within the PPB. The system allows you to print the Program with defined tasks and their level of completion at any stage of the program.

BRK base - Acceptance of regulations

The Instructions section allows the registration of PKP PLK instructions, internal company instructions and other documents that should be made available to employees using the mRails mobile system. The system allows you to assign a responsible person and also an effective date to each of the documents you add.

BRK base - inspections and audits

The section responsible for Audit Protocols allows for the registration and ergonomic administration of audit and inspection protocols broken down into three groups:

  • Railroad Transport Authority audit
  • Internal audit
  • External company audit

Each group has individually prepared sets of fields to implement the established division. In addition, each inspection protocol has the ability to attach attachments, notes, documents, as well as irregularities and tasks detected during the inspection. The system makes it possible to assign tasks to individual employees as early as the registration stage.

An additional advantage is the ability to record documents, notes and attachments regardless of audits and inspections. The Inspection Protocols section included in the BRK module also allows ergonomic supervision of external entities and their certificates. Based on the registered audit, the user can grant or revoke the validity of the certificate for the selected external entity.

Transports

Planner panel

The module is used to create and manage plans for trains carrying out registered transport orders, including the planning of traction vehicles, drivers and wagons. Within the module, it is possible to plan main shipments (according to the order from the customer), auxiliary shipments i.e. commuting, returning or slacking. In addition, the system has been equipped with the functionality of verification of carriage status thanks to the connection with SEPE, and automatic downloading of managed national and border timetables thanks to the connection with PKP PLK. Transport dispatcher panel - Implementation of the transport plan

Ergonomic panel for planning and managing shipments. The dispatcher panel can be run in an infinite number of instances and user-defined views.

Register of transport contracts

The module allows you to register shipping contracts concluded with contractors, with the possibility of linking them to offers issued in the CRM module. The defined contract can consist of multiple services and their variants.

CSO Reports

The module is responsible for generating reports required by the Central Statistical Office (CSO)

  • TK-1 – Report on operational activities of railroad transport
  • TK-2 – Report on cargo transportation by railroad.
  • TK-2a – Report on cargo transportation in international transport by rail.
  • TK-4 – Report on the operation of rolling stock

The module is responsible for generating reports required by the Railway Transport Office (UTK).

H30

The module allows electronic exchange of data with other carriers. The data exchanged includes information on trains routed to and from the carrier, along with its details such as wagon list, cargo carried, net and gross weights of the train set and individual cars. The exchange can be implemented based on the international HERMES standard (H30/A30).

Workshop

Register of workshop orders (implementation of maintenance)

Current repairs and maintenance are often performed by in-house workshops that are part of the company. The in-house workshop module is responsible for handling requests for decommissioning of railcars and traction vehicles, as well as for contacting in-house workshops performing work on defective railcars. Repair work is carried out in accordance with the DSU documentation, for each change in the activity of the transport unit, relevant documents such as R25W and R27W are issued.

Register of contracts (workshop internal/external)

Trucking companies are required to perform regular maintenance on their transport units, and for this purpose they contract with workshops that specialize in performing specific repairs. Railsoft system in the contract management module allows you to register the terms of the contract. The process involves assigning the appropriate units to the repairer, defining the types of maintenance and repairs to be performed, the activities that are necessary and the side activities performed during regular maintenance work.

The dynamic design of the functionality allows costs to be appropriately allocated to the type of exemption being implemented.

Maintenance integration plugs the registered request into a specific contract calculating the approximate cost of the repair performed. By issuing data to a third-party workshop on the browser side, it allows you to adjust the services to be performed and return an invoice for the repair with a detailed cost estimate according to the contract points. The contracts module works closely with the maintenance module, maintenance, transport unit file and contractor file. The elements written in the contract are applicable both in the office and from a mobile device or browser in mobile or web. This module is integrated with Ascent.

Services

CRM. Contractor - Web

The module is used to communicate with the customer using the Web site. In addition, the system provides correspondence with the contractor from the office application. After receiving a request for quotation from a customer, the system makes it possible to carry out an extensive calculation of the cost of fulfilling the request with a breakdown of the various options. The finished calculation can be transformed into an offer, which can then be sent to the contractor for approval. Once an offer is approved, a freight contract is generated based on it, which is the beginning of the freight stage.

CRM.Workshop - Web

Many repairs to traction vehicles are performed by third-party workshops that specialize in a particular type of repair and are not part of the trucking company. Until now, the forms reported to them about performing an inspection or repair were sent via email. The process took a very long time and the locomotive could not always get to the activity in time to perform the scheduled transport. The frequent occurrence of such cases jeopardizes the timeliness of orders and causes financial losses.

In order to facilitate and speed up the process of implementing repair activities, a CRM workshop module managed via a web browser was created. A trucking company that owns the office version of Railsoft software provides cooperating repair companies with access to the application.

CRM.Handel - window application

The module is used to record inquiries for transported goods, including NHM and RID code. Each product registered in the file is subject to CSO classification. RailSoft Allows you to keep an aggregate record of services, e.g. freight (piece, net ton, hour started, yard, etc.), stay of wagons under loading/unloading, use of wagons.

Calculation functionality allowing to prepare on the basis of defined parameters / rates (e.g. averaged cost of fuel, driver/hour, locomotive , selected services, etc.) and fixed commercial rules (e.g. multiplier depending on the number of wagons, etc.) – target freight cost for each request.
