Employee file - registration and management

The module in the system is designed to manage employee information as well as about training, examinations and authorizations of employees carrying out transportation and/or maintenance processes.
The functionality makes available the definition and supervision of the validity of certificates and authorizations on the basis of a predefined card file and warning rules, with procedures for checking the competence of employees in real mode (knowledge of the route) and other authorizations, along with the assignment of appropriate documentation, confirming the acquisition of authorizations.

Also part of the employee area is a set of functionality responsible for trail familiarity.
It is used to record and verify the trail familiarity of subordinate drivers, as well as their last runs on a given route.

Relation – The path of a train between its starting and ending points, containing specific rail lines or sections of rail lines.

The module allows the definition of relationships to be recorded and updated in a variety of ways, from manual definition to the selection of specific railroads to timetables. Functionalities within trail familiarity management also allow the generation of a trail familiarity card for a selected employee, as well as a list of employees eligible for a familiarity exam or trail familiarity renewal.

Employee document register - document management

The system area provides tools to support the collection, archiving and sharing of documentation resources confirming the acquired authorizations of employees, as well as documentation resources and assignment to a specific type of tool, with the legally required continuity of traceability of characteristics and properties along with the history of operation of the item.
The module allows the user to define the expiration date of a document related to an employee or equipment, and automatically warns about the approaching expiration date of the document.

Functionality specification:

  • Management of documentation confirming the qualifications of employees
  • Management of technical documentation of employee equipment
  • Defining rules for warning about the approaching expiration date of the above.
    Documents
  • A system of notifications to authorized users of the system about changes in the validity status of the above-mentioned Documents

The system user has the ability to:

  • Registering document scans,
  • Linking documents with corresponding resources (equipment)
  • Indicate the validity (expiration) date of the document o The system will automatically generate a reminder about the upcoming expiration date of current documents
  • Access any scan from the range of registered documents (dependent on permissions) via the application:
    • Office
    • Mobile

Electronic employee time management (eZCPP)

The module is responsible for the process of registration, verification and settlement of working time, of any employee (including external subcontractors) performing any activity in the RailSoft system.

Time recording is done using applications dedicated to:

  • Mobile devices (the customer at the stage of signing the contract chooses the system )
    • Windows
    • Android o
    • Office equipment (classic computer)
    • Web browsers
  • Semi-automatic registration and verification of employees’ eWork Time Cards using mobile devices o Semi-automatic – employee starts and finishes defined processes , specific to the workstation, e.g. R7 (the system automatically records the start/end date and time)
  • Manual registration and verification of employees’ eWork Time Cards using mobile devices o Manual – employee physically enters time spent on defined tasks, e.g. workshop employee ( requires implementation of Workshop module)
  • Modification of registered eKCPP via mobile devices or web browser
  • Accounting and verification of working time using the desktop application o Visualization of the register of electronic Employee Time Cards o Verification of eKCPP recorded by employees

 

 

 

Employee equipment module

The module allows you to define any relevant (for inspection, repair, revision and legalization) elements of employee equipment – one-time schemes or permanent templates (along with relevant individual characterization parameters).

 

 

Employee training and instruction module

The module is responsible for the process of training, authorization, privilege updates and instructions.
Automation of the process, integration with the Employee Documentation module, customization of templates, document templates and the use of mobile devices facilitate and optimize the process of managing employee authorizations.

 

System

File of contractors

The module is used to manage contractors with whom we have active business relationships.
This module can be integrated with an external system, which will feed it with the data of contractors.
An additional functionality of the module is a register of potential business partners stored and maintained in the system.

 

Product file

The module is used to register transported goods, taking into account the NHM and RID code. Each product registered in the file is subject to CSO classification.

Functionality specification:

  • Opening Balance Sheet – Bulk import of list, complete inventory of goods (based on NHM codes) from external Database or prepared *.xls file
  • Registration and management of information in the area of inventory data of goods
  • Ability to assign RID code to selected goods
  • Managing the assignment of goods to commodity groups
  • Management of units of goods
  • Classification of goods by CSO categories
  • Classification of goods by NHM codes
  • The ability to integrate with an external system that manages commodity data.

 

Reports

Reports module

The module is used to create SQL queries of dedicated reports, statements for customer needs. There is a possibility of parameterized statements in the form of a fixed table, pivot table and daschboard.

Within the module, the created fetches can be grouped as needed and access permissions for users can be managed.

Generated statements can be exported to xls or pdf files, printed or sent periodically to emails.

 

Contracts

Register of contracts (terminal + sidings)

The module allows you to register shunt and terminal contracts concluded with contractors, with the possibility of linking them to offers issued in the CRM module. The defined contract can consist of multiple services and their variants. Flexible forms of invoicing are also possible:

  • One time
  • Per years
  • Per quarters
  • Per month
  • Per week
  • Per days

When defining a transportation contract, you can also specify the type of payment:

  • Payment for everything
  • Payment for at least N units (wagons, tons, time, etc.).
  • Payment always for N units (wagons, tons, time, etc.).

After defining a siding contract, the system will automatically generate execution protocols in an amount depending on the selected form of invoicing. Two forms of protocol billing are possible:

  • Manual – the user manually has to indicate the registered operations that qualify for billing
  • Automatic – the system will automatically select registered operations that qualify for billing and present them to the user for approval

The system allows integration with the accounting system to transfer the protocol as an input to the invoice.

CRM. Contractor - web

The module is used to communicate with the customer using a web page. In addition, the system provides correspondence with the contractor from the level of the office application. After receiving an inquiry from a client, the system allows to carry out a broadly understood calculation of the cost of fulfilling the inquiry with a division into different variants. The ready calculation can be transformed into an offer, which can then be sent to the contractor for approval. Once the offer is approved, a freight contract is generated based on it, which is the beginning of the freight stage.

The task of the module is to communicate with the customer using the website.

 

Directories

Loading/unloading equipment file (e.g., overhead cranes) - registration and management

The file is designed to manage information on handling equipment.

As part of the module, the system allows you to oversee your loading equipment inventory and keep an eye on documents, inspections and maintenance of equipment.

 

 

Dossier of loading/unloading equipment (e.g., overhead cranes) - equipment

The module allows you to define any relevant (for inspection, repair, revision and legalization) elements of loading equipment (along with relevant individual parameters characterize) – example parameters.

  • Internal combustion engine

  • Other equipment elements – defined by the system user

The user will have the ability to define equipment templates (grouping of selected equipment items), specific to specific types of equipment.

Dossier of loading/unloading equipment (e.g., overhead cranes) - document register

The system area provides tools to support the collection, archiving and sharing of maintenance documentation resources for cargo handling equipment with assignment to a specific type of vehicle while maintaining the legally required continuity of traceability of features and characteristics in the operating history of a given piece of equipment. The module allows the user to define the expiration date of the document associated with the system component and automatically warns about the approaching expiration date of the document.

  • Management of documentation and photos of the damaged vehicle

The file of loading/unloading equipment (e.g., overhead cranes) - inspection and maintenance module

When carrying out inspection work on a vehicle, the condition of individual pieces of equipment is checked according to the indications in the DSU and defined rules.

Transports

Container depot - management and operation

The container depot service module is used to supervise cargo handling and storage services. The module provides for handling goods in the sense of Container, as well as handling general cargo. The depot provides for the implementation of transshipments in the relationship: yard – auto, auto – yard, auto – auto, auto – container, container – auto. The depot also includes processes related to customs, phytosanitary and other processes related to intermodal transport. As part of the system, we can generate multiple depots/warehouses and design its layout with addressing of storage locations.

The terminal module is connected to the contracts module and allows billing for services performed.

The module consists of:

  • An office part that allows order registration, advising of deliveries and releases, gate operation, configuration of depots, order queuing, viewing of stock and cargo.
  • Mobile part to carry out orders/commands/tasks and report the need for additional activities, such as: washing the container, cleaning, lack of seals
  • Web-based part that allows the customer to advance the shipment, advance the car and view the stock status

CRM.Workshop - Web

Many repairs to traction vehicles are carried out by third-party workshops that specialize in a particular type of repair and are not part of the freight company.
Until now, the forms submitted to them about performing an inspection or repair were sent via email.
This process took a very long time and the locomotive could not always get to the activity in time to perform the scheduled transport.
The frequent occurrence of such cases jeopardized the timeliness of orders and caused financial losses.

In order to facilitate and speed up the process of carrying out repair activities, a CRM workshop module managed via a web browser has been created.
A trucking company that has Railsoft software in the office version provides cooperating repair companies with access to the application.
