Implementation of RailSoft System – a company that performs repair and maintenance of energy infrastructure on railroad tracks

Our client has been operating in the Polish market since 2001, focusing on the sale and supply of electricity to traction and business customers. The company specializes in the maintenance and operation of railroad infrastructure, offering maintenance, emergency services and station management for diesel locomotives. It has about 20,000 kilometers of distribution network and a fleet of specialized railroad equipment.

Situation before implementation

Prior to the implementation of RailSoft, the company carried out its maintenance operations using MS Office tools and paper documentation. Such solutions did not provide sufficient data protection, editing transparency or access to real-time information, which limited operational efficiency and introduced the danger of losing the rail safety certificate issued by UTK

Implemented solution

The RailSoft system covered comprehensive support for financial, resource and logistics management processes, including but not limited to:

  • Rail Traffic Logistics: The system supports the management of schedules, traffic, and operations work.
  • Rolling Stock and Infrastructure Maintenance: RailSoft allows for comprehensive planning, execution and monitoring of rolling stock repairs and inspections, including extensive modules for drivers and maintenance staff.
  • Workforce and records management: RailSoft manages resources, such as several hundred traction vehicles, several hundred railcars and more than several thousand users, in about 1,400 mobile devices operated by drivers and auditors.
  • Railroad Safety: RailSoft complies with all rail safety regulations.
  • Transportation planning and execution: Process automation and integration with SKRJ and SEPE (Octopus 2.0) systems enables more efficient management of rail operations.

Maintenance process for traction vehicles

  • Reporting defects by drivers and revisers: In the mRails mobile app, drivers and auditors can report defects on railcars and traction vehicles. Before taking over a vehicle, they perform a P1 inspection, and if a fault is detected that disqualifies the vehicle, they report its shutdown.
  • Handling of breakdown requests by the maintenance department: Requests are taken over by the maintenance department, which assigns DSU (Maintenance System Document) activities and appoints the appropriate workshop to carry out the repair.
  • Multi-exclusions: If an inspection deadline is approaching while reporting a malfunction, an employee can report a multi-exception, which combines the inspection and repair procedure.
  • Filling out measurement cards: For in-house workshops, employees fill out the extended measurement cards directly in mRails. If the repair is carried out by an external workshop, the cards are completed manually.
  • Validation of Measurement Card Entries:The system validates measurement card entries, allowing only vehicles that meet DSU criteria.

Data from the shutdown and notification processes are automatically recorded in the system and available in the form of reports.
