Implementation of RailSoft Business Solutions at a passenger carrier

Implementation of the RailSoft Business Solutions system, optimizing key business processes carried out by the largest passenger carrier in Poland. The implementation enabled the client to create a central management system :

  • Traction vehicles,
  • The process of maintaining traction vehicles – Maintenance Management System,
  • Circulating trains,
  • Scheduling of conductor teams, drivers and other employee groups, based on modern system information solutions.

The RailSoft Business Solutions system has been deployed at 15 shipping companies and is used by more than 5,000 people. The system is available to office workers as well as those working in the field, who use a mobile application. Our client – a leader in the Polish passenger transport market, operating 2,000 trains every day – has chosen our solution to manage its rail business. Thanks to the implementation of RailSoft, the Company has optimized key business processes, carried out by the Company, through the implementation of modern IT solutions, in areas such as:

Vehicles

Vehicle management (timetable and rolling stock circulation plan) and train circulation optimization, including but not limited to:

  1. Schedule import from the UDRJ/SKRJ system,
  2. Adjustment (optimization) of the timetable in the context of rolling stock demand,
  3. Creating and optimizing rolling stock circuits. The Circulation module in RailSoft allows you to optimize the use of available traction vehicles. It allows you to create single- or multi-day train circuits, enabling you to effectively manage your rolling stock against planned schedules. The tool allows you to plan exactly when a given vehicle will operate each course, as well as optimize the management of traction team changes. The functionality allows improving the utilization rate of operational resources, which translates into better service quality and economic efficiency.
  4. Visualization of rolling stock circuits in the form of line graphs,
  5. Ongoing management of vehicles with assignment to individual circuits,
  6. Current information on the rolling stock situation,
  7. Status of vehicles in working order up to 1 month including repairs and maintenance,
  8. vehicle and train operation record.
  9. Dispatching statistics of trains canceled, delayed, etc…;

Management

Management of train crews and other employee groups (drivers, train managers, dispatchers, back-office employees i.e. shunt setters and others), including but not limited to:

  1. Creation and optimization of work exchanges based on rolling stock circuits,
  2. visualization of working changes in the form of line graphs
  3. Management of the current staffing of work shifts, employee turnover,
  4. Planning work schedules of drivers, conductors and technical teams – automatic and manual scheduling. The system allows scheduling the work of drivers, conductors, back office workers, cashiers or maintenance workers. Schedules can be created automatically (based on schemes from previous work periods) or manually, which gives full flexibility to adapt to current operational needs. A key functionality is the ability to compare scheduled tasks with the status of their implementation in real time, which allows ongoing monitoring of work progress.
  5. Service management – The system allows assigning tasks to employees on a cyclical or manual basis, taking into account all possible absences. Thanks to this, the system allows you to precisely manage the working time and absences of employees, which directly translates into better planning of human resources and prevention of possible operational disruptions.
  6. Management of tasks and absenteeism of employees with full control over the performance of assigned duties,
  7. time registration,
  8. generation of data for calculating salaries, (export of data to the personnel and payroll system)
  9. train team area statistics,
  10. Recording data on vehicle operating work for billing purposes of major contracts

Mobile

Process management through the Mobile Application, including but not limited to:

  1. presentation of the Route Description (a requirement of the Traffic TSI),
  2. Maintenance of time cards in electronic form (generated/sent automatically),
  3. receiving monthly work schedules,
  4. Contact with the dispatcher (no cell phone on the driver’s equipment),
  5. Trail Familiarity Control,
  6. rolling stock knowledge control,
  7. Dynamic Internal Timetable (WRJ) and Dynamic Timetable Supplement No. 2 Fixed Warning List (WOS) – with timetable tracking in relation to GPS position, displayed alternately or by splitting the screen so that the train driver can use them offline,
  8. surveys/tests for train teams,
  9. Transmission of documents,
  10. Access to documentation necessary to perform the work with the ability to acknowledge receipt and read (regulations, instructions, guidelines, etc.).

We are proud of the fact that we were able to participate in the next phase of improvement, optimization, and efficiency of business processes, implemented by our client, and we look forward to further projects, also at other national and European carriers.
